Responsibilities:
Job Summary
The Administrative Assistant is responsible for providing administrative support to an individual(s) or department.
Duties and Responsibilities:
- Responsible for clerical duties and tasks, including answering telephones and routing calls as necessary.
- Sort and prioritize mail.
- Compose correspondence, gather reports, and prepare presentation as requested.
- Ensure front desk operations including screen calls and visitors to control interruptions, receptionist duties.
- As directed by Director, coordinating and monitor day to day operations including client appointments, transportation, milieu monitoring by BHT’s, client requests, client sign in sheets, vehicle maintenance and logs, and maintenance issues.
- Maintain accurate census including admissions/discharges.
- Responsible for assisting in the preparation of reports.
- Responsible for assisting in scheduling of team and individual meetings.
- Monitor and order program and office supplies; track and distribute appropriately.
- Coordinate COB’s, insurance verification and proof of payments as coordinated with and directed by Business Office
- Liaison with Business Office to collect OP client payments.
- Maintain office security by opening and locking building
- Direct timely lunch pickup and client appointments
- Maintain CARF safety manual and schedule/assist in Safety Drills
- Assist in the scheduling of BHT staff/assignments.
- Handle complaints and trouble shoot client issues related to transfer from residential.
- Collect and distribute client and program mail.
- Other Job Duties – As Assigned
Qualifications:
Education/Experience:
- Equivalent combination of education and experience.
- Two year’s administrative assistant experience.
- Ability to maintain confidentiality.
- Advanced ability to read and interpret written information; write clearly and informatively; edits work for spelling and grammar. Ability to speak clearly and persuasively in positive or negative situations; listens and gets clarification; responds well to questions; demonstrates group presentation skills; and participates in meetings.
- Advanced knowledge of Microsoft Word, Excel, and Outlook.
