Overview:

The Office Administrator is responsible for providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material.

Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.

Responsibilities:

Greet walk-in customers and answer phones.
Assist with project bids, change orders and correspondence.
Review payroll timesheets for job numbers; accuracy; logs time into projects.

Develop and update jobs obtained report on a daily basis.

Support sales staff
Compares purchase orders/order acknowledgements for accuracy.
Generates emails, memos, proposals, change orders as requested.
Municipality projects - securing plans, securing bid, performance & payment bonds, invoicing, etc.
Accounts payable support- entering invoices
Assit HR/Safety with onboarding
Entering all awarded projects into QuickBooks, updating all project status in Pavement Soft.

Training of new employees on phone, tablet usage

Qualifications:

Excellent verbal and written communication skills.
Thorough understanding of managing administrative duties and practices.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Strong analytical and problem-solving skills.

Strong proficiency in MS Excel.

Experience in construction, paving or asphalt desired.
