The Historical Construction Equipment Association (HCEA) is seeking a dependable, organized, and customer-focused Front Office & Administrative Manager to support daily office operations and member services. This position serves as the first point of contact for visitors, members, vendors, and callers while also managing a variety of administrative, bookkeeping, and operational responsibilities.

This role is ideal for someone with strong office administration experience who enjoys balancing customer interaction, organization, scheduling, records management, and day-to-day operational coordination in a professional and community-oriented environment.

Key Responsibilities: Greet and assist visitors, members, and vendors in a professional and welcoming manner

Answer and route incoming phone calls and email inquiries
Manage office calendars, appointments, and scheduling needs
Maintain accurate records, files, and administrative documentation
Assist with bookkeeping, invoice processing, deposits, and purchase orders
Support payroll preparation and administrative reporting functions
Coordinate office supply inventory and vendor communication
Assist with event, membership, and administrative support activities
Maintain organized office workflows and support overall office efficiency

Handle confidential information with professionalism and discretion

Qualifications: Previous experience in office administration, front desk coordination, office management and vendor communications

Strong communication skills
Highly organized with strong attention to detail
Ability to prioritize multiple tasks and meet deadlines
Comfortable working independently and managing daily office operations
Experience with Microsoft Word and Excel required
QuickBooks experience strongly preferred
Payroll, bookkeeping, or accounts payable experience is a plus

Reliable, professional, and adaptable

Preferred Background:

Candidates with experience in administrative support, service coordination, bookkeeping, customer service, or operations administration are encouraged to apply. Experience supporting small business operations, trade associations, equipment-related industries, or service organizations is beneficial but not required.
