Candidate will work full-time Monday-Friday in our creative office located in Piscataway, NJ.

Edgewood Properties Design Services (EPDS) - our integrated architecture, engineering, interior design, and development team -
is seeking an Executive Assistant/Bookkeeper to support our director and keep our growing department organized and efficient.
About the Role: You'll be the right hand to the Director of EPDS, managing administrative operations, financial tracking, and vendor relationships.
This is a hands-on position perfect for someone who loves variety, enjoys learning new systems, and takes pride in keeping the details straight while supporting the big picture.
Salary:
Up to $80,00 per year based on experience
Responsibilities:
What We're Looking For:
Financial & Contract Management- Process and track work orders for third-party architects, engineers, and design professionals
- Prepare invoices and maintain accurate billing records
- Manage professional service contracts and vendor documentation
- Run weekly reports on contract status, job profitability, and vendor performance
- Support annual budget preparation and ongoing financial tracking
- Provide executive-level administrative support to the Director, including correspondence, scheduling, and communications
- Help implement and maintain our workflow management system
- Coordinate department culture initiatives and internal events
- Maintain organized records and tracking systems across multiple platforms
- Identify opportunities to streamline operations and improve efficiency
- Support the adoption of new tools and workflows as the department grows
Qualifications:
What We're Looking For:
- 3–5+ years of experience in executive assistance, bookkeeping, or operations support
- Strong proficiency in MS Office (Outlook, Excel, Word) and Adobe
- Exceptional organizational skills and attention to detail
- Comfortable managing multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Self-starter who can work independently and take initiative
- High school diploma required; college degree preferred
- Bonus: Familiarity with architecture, engineering, or design industries
