Mail/Shipping Associate

Job Title: Mail/Finishing Level 2Location: Nashville, TN
Job Type: Hourly Consultant
Hours: 8 am to 5 pm, M-F
Pay: up to $21.62/hr
Essential Functions:
- Operate high-speed, high-volume mailroom and finishing equipment including inserters, sorters, postage meters, envelope printers, scales, and related automated systems
- Perform production mail preparation including folding, inserting, labeling, mail merges, and finishing work on outgoing materials
- Manage packaging, posting, shipping, and fulfillment activities for client materials, including kitting, assembly, and distribution
- Execute charge-back reporting for postage, courier, express, local delivery, and fax services
- Process incoming and outgoing mail: receive, sort, log, track, and distribute mail, packages, supplies, and accountable items
- Maintain tracking systems, barcode scanning, and electronic logging for mail and shipment visibility and audit compliance
- Coordinate USPS, FedEx, and other courier pickups/deliveries; resolve delivery or tracking issues as needed
- Perform address validation, mail cleansing, barcode review, and database updates using specialized mailing software
- Support electronic mail distribution, fax processing, scanning, and document routing workflows
- Maintain supply inventory levels and ensure availability of required mailroom materials
- Ensure adherence to mailroom security procedures and compliance standards
- Monitor equipment performance, perform routine cleaning, and coordinate vendor service when required
- Recommend workflow and process improvements to improve efficiency and reduce cost
- Provide customer service support as the focal point for special mailings and shipping requests
Skills:
- Ability to lift and move up to 50 lbs
- Strong reading, writing, and verbal communication skills in English
- Intermediate PC and internet proficiency
- Intermediate MS Word skills (mail merges, tables, formatting, headers/footers, forms)
- Intermediate MS Excel skills (formulas, charts, multiple worksheets)
- Working knowledge of MS PowerPoint
- Experience with mailroom and shipping systems (e.g., Pitney Bowes, FedEx systems)
- Ability to operate and troubleshoot mail/finishing equipment
- Strong organizational skills with ability to manage multiple priorities
- Data entry accuracy and attention to detail
- Ability to work independently with minimal supervision
- Strong customer service and communication skills
- Ability to estimate, schedule, and track mailing jobs and workflows
- Ability to train or mentor other mailroom associates
Experience:
- 1–2 years of experience in mailroom operations and/or operating mail finishing equipment in a high-volume environment
Education:
- High School Diploma or equivalent required
