Customer Service and Order Processing Specialist
You will process purchase orders, cross-reference custom dimensions and technical filter specifications, coordinate with warehouse staff for order fulfillment, and ensure seamless delivery scheduling.
Required Qualifications & Skills- Experience: 2+ years of customer service, order entry, or counter sales experience, ideally within distribution, building materials, HVAC, plumbing, or industrial supply.
- Data Entry Accuracy: Exceptional attention to detail and high-speed data entry skills with proven accuracy in processing part numbers, dimensions, and financial totals.
- Technical Aptitude: Ability to learn specialized product lines, sizing metrics (e.g., standard vs. custom filter dimensions, MERV ratings), and inventory codes quickly.
- Communication: Clear, professional verbal and written communication skills with a friendly, customer-centric phone demeanor.
- Software Proficiency: Proficient with Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning proprietary ERP/inventory databases.
- Problem-Solving Skills: Self-motivated team player who can multi-task in a fast-paced environment and resolve customer issues effectively.

Responsibilities- Customer Support & Order Intake: Respond promptly to incoming customer calls, emails, and walk-in inquiries regarding filter products, stock availability, pricing, and custom lead times.
- Order Processing & Data Entry: Accurately enter and process sales orders, purchase orders, and quotes within the internal inventory management database. Verify line items, pricing, custom sizing, and shipping/pickup details.
- Technical Product Assistance: Assist commercial clients and contractors in identifying correct filter types (pleated, HEPA, MERV ratings, custom dimensions, belts, housings) based on their specific HVAC unit requirements.
- Warehouse & Logistics Coordination: Work closely with warehouse and inventory staff to monitor stock levels, track backorders, and schedule local delivery routes or same-day customer pickups.
- Invoicing & Account Management: Issue order confirmations and invoices, process payments, and coordinate with the accounting department to resolve any billing or PO discrepancies.
- Vendor & Supply Coordination: Communicate with product manufacturers and suppliers to check order statuses, confirm lead times, and track incoming stock shipments.
