SUMMARY:

This position manages eDiscovery engagements with law firms, in-house legal teams and third-party service providers associated with litigation, investigations, information governance, and cyber security response.

This role is responsible for oversight of workflows, schedules, ESI protocol compliance, and coordination of resources for the successful completion of required deliverables for each engagement, accurately and within budget.

ESSENTIAL JOB FUNCTIONS:

The Project Manager (PM) provides highest quality customer support to external clients using project management best practices and technology.

The Project Manager interacts with law firm and corporate legal department clients daily making project level decisions on design, process, implementation, security and maintenance of client databases.

The Project Manager will have heavy interaction with clients including training, project design, database set up, as well as overall data and process management for life of the project.

The Project Manager will perform a variety of tasks, including follow-through on all client requests including but not limited to data loading/processing QC, search requests, document productions, and overall management of project level document databases.

The highest quality customer service is a must, along with the ability to ensure compliance with case specifications, tracking schedules, and submission of routine status reports.

DUTIES AND RESPONSIBILITIES:

Manage multiple projects and changing priorities in a dynamic, fast-paced, and high-pressured environment working under strict deadlines and fast turnaround times.

Make important recommendations and decisions on planning, designing, development and deployment litigation support/e-discovery technology solutions.

Work independently and as a member of a cross functional team offering mentorship to other team members. Experience working with all levels of users, including partners, associates, paralegals, and support staff as well as with clients, co-counsel, opposing counsel and other vendors.

Focus on a high level of performance pertaining to quality and quantity of work, attendance, punctuality, dependability, cooperation, planning and organization, initiative, composure and a helpful attitude toward all coworkers, system users and clients.

The Project Manager must be self-motivated to learn existing and new software applications, processes and their fit with hardware platforms.

Apply sound logical, mechanical, and common-sense skills in solving or narrowing down hardware and/or software related problems. This includes the ability to work closely with the operations professionals, technology team members, third party solution providers, and end users in the troubleshooting process.

Responsible for proposing project level technology solutions to clients by maximizing the use of existing software as well as implementing new technologies.

Conduct project design meetings with client legal teams to ascertain the project requirements as well as define project scope, delivery timing, and budgeting support. Prepare meeting summaries, coding instructions, status reports and training materials as necessary for the successful completion of a project.

Keep abreast of trends in the litigation support/e-discovery space.

Manage and advise clients on project level details of database customization and implementation of that process. This includes working with the client to make decisions on the management of project/user level database security set up.

Manage co-counsel and opposing side vendors to assure that high-quality data deliverables and services are provided within the negotiated schedules and budgets. Review deliverables prior to delivery to confirm that they meet the specifications.

Work with business development, accounting and operations teams to make sure that all services are billed in accordance with client agreement.

Manage and coordinate all aspects of individual cases as assigned. Maintain project plans including the definition of related project tasks and determining time estimates. Establish and maintain assessment and data quality assurance systems. Serve as liaison between the internal team and company clients to facilitate the completion of the projects.

Provide data management services such as loading data into database applications, deliverable creation, building production subsets, data conversions and moving of data from one medium to another. Gather data, conduct database searches and prepare reports in electronic form to submit to a client.

Contribute to work product development as necessary. Provide advice and decisions as needed on overall electronic evidence management as it relates to that project.

Assist with coordination and management of data for use at trial.

Provide on-going user support via telephone, on-line, and/or office visits. Assist attorneys, paralegals and legal secretaries with a variety of needs related to the project. Develop technical documentation for end users as needed.

Manage and coordinate most aspects of educating users about the process/software through training, roundtables, product demos and provide content via email when needed. Prepare and customize training documentation if needed.

SUPERVISORY RESPONSIBILITY:

This position may from time to time lead a team of peers for engagements that require multiple PMs due to volume or the requirement for geographic silos to comply with international privacy restrictions.

QUALIFICATIONS:

Bachelors degree in Information Technology or other related field of study is required, J.D. preferred.

Possesses 5+ years of experience in IT consulting in a law firm, eDiscovery solutions company or other related professional services environment.

Highly organized and detail oriented.

Experience managing eDiscovery databases is required; Reveal software is a MUST

Experience with Relativity software is a plus.

Experience with the collection of electronically stored information is a plus.

Ability to combine the legal knowledge of attorneys and paralegals with the technical skills of an IT professional.

Ability to define problems, collect data, establish facts, and draw conclusions to solve practical problems.

Ability to work with the client and their IT personnel and consult on the preservation and collection of data according to the Federal Rules.

Ability to read discovery requests and translate the information into from a range of simple to complex searches

Ability to read and comprehend complex instructions, brief correspondence, and write complex correspondence.

Ability to effectively present all information related to e-discovery (preservation, collection, review, etc.) in one-on-one or small group situations and set expectations with legal teams andclients..

Ability to work independently and effectively under time constraints and pre-set deadlines in an accurate manner with consistent high production; requires minimal supervision.

Demonstrates ability to manage multiple projects simultaneously, provide superior internal client service, and be comfortable delivering under pressure in a team focused environment.

Ability to be creative, consider current practices with the mindset of continuous growth, and demonstrate initiative to generate improvements and foster positive outcomes.

WORK ENVIRONMENT:

This job operates in a professional office environment. Remote work capabilities are limited. This position routinely uses standard office equipment, such as computers, phones, scanners, and digital platforms.

In addition, this role works in software systems to manage projects, respond to inquiries, assign requests for support, bill tasks, track time allocation and general organization of duties.

This position may require travel up to 30%.

While performing the duties of this job, the employee is regularly required to use a keyboard, mouse or touch pad, and monitor while sitting for several hours daily.

The employee is occasionally required to stand, walk, climb or balance, stoop, kneel or crouch, and lift office supplies up to 20 pounds.

Regular communication with clients (attorneys, their clients, paralegals, law firm IT staff, client eDiscovery team members), opposing counsel, and service/software providers is routinely required by phone, email, and video conferencing during normal business hours and occasionally extended hours when approaching a deadline.

POSITION TYPE / EXPECTED HOURS OF WORK:

Ability to work a minimum of 40 hours weekly; may work extended hours outside of normal business hours.-
