Manager of Strategic Initiatives and Executive Operations

Position Summary: The Manager of Strategic Initiatives & Executive Operations is a highly organized, relational, and proactive professional who supports the successful execution of the school’s strategic priorities and institutional initiatives.
This role combines project management for the school’s Experiential Pathways Initiative (EPI) and other strategic programs with executive and governance support for the Head of School and leadership team.
This position plays a central role in helping the school translate vision into action by coordinating complex projects, managing systems and workflows, supporting leadership operations, and ensuring consistent follow-through on institutional priorities.The Manager serves as a connector across divisions, departments, and community partners to help ensure that important initiatives are executed with excellence, clarity, and accountability.
Working closely with the Head of School, Director of Teaching and Learning Innovation, leadership team, faculty, trustees, and external partners, the Manager of Strategic Initiatives & Executive Operations supports both the strategic and operational health of the institution.
Key Responsibilities:
Experiential Pathways Initiative (EPI) Coordination- Support the planning and execution of EPI programming across grade levels
- Coordinate logistics, communication, and materials to ensure high-quality student experiences
- Maintain systems for tracking participation, outcomes, and program effectiveness
- Serve as a liaison between the school and both existing and prospective external partners to sustain and expand experiential learning opportunities
- Contribute to continuous program improvement through feedback, reflection, and data analysis
- Provide project management support, including timelines, documentation, and follow-through
- Coordinate logistics for student field experiences, including scheduling, transportation, permissions, and communication
- Support the development and management of program and project budgets, including tracking expenses and contributing to regular budget reviews.
- Manage the ordering, organization, and distribution of supplies and materials for EPI activities
- Ensure all experiences align with school policies and safety expectations
- Maintain calendars and planning documents to support smooth execution
- Develop and maintain systems to track student participation in EPI experiences
- Collect, organize, and analyze data related to program outcomes and impact
- Support reporting needs tied to EPI goals, including grant-related documentation (e.g., Lilly Endowment requirements)
- Collaborate with school leadership, grant writers, and existing external partners to support data-informed storytelling and reporting
- Translate data into clear, actionable insights for faculty and administrators
- Maintain and strengthen relationships with existing community organizations, businesses, and local experts
- Identify and cultivate new partnerships to expand experiential learning opportunities
- Coordinate communication and logistics with partners to support student experiences
- Ensure partnerships are mission-aligned, mutually beneficial, and sustainable
- Support the expansion of partnership opportunities to deepen and diversify student experiences
- Maintain a database of partners, contacts, and engagement history
- Manage the Head of School’s calendar, scheduling, and priority alignment
- Assist in organizing the Head’s time and workflow around key institutional priorities
- Prepare agendas, presentations, and supporting documents for meetings
- Attend selected meetings and provide clear notes, summaries, and follow-up documentation
- Maintain dashboards, trackers, and systems related to strategic priorities and commitments
- Support leadership team meetings through agenda preparation, note-taking, documentation, and follow-up tracking
- Maintain clear records of decisions, priorities, timelines, and next steps
- Monitor progress on strategic initiatives and leadership commitments
- Follow up with leadership team members on behalf of the Head of School regarding priorities, deliverables, and timelines
- Help ensure accountability and continuity across leadership initiatives
- Coordinate board and committee meeting logistics, communication, and materials
- Prepare and distribute board packets and supporting documentation
- Maintain governance calendars, deadlines, and meeting schedules
- Track board action items and support timely follow-through
- Support efficient governance operations and documentation management
Skills & Experience:
- Bachelor’s degree required; background in education, project management, nonprofit administration, communications, or related field preferred
- Experience working in schools, nonprofit organizations, or mission-driven environments strongly preferred
- Demonstrated ability to manage multiple projects, priorities, and stakeholders simultaneously
- Exceptional organizational, communication, and relationship-building skills
- Strong attention to detail and ability to maintain confidentiality and professionalism
- Experience supporting senior leaders, boards, or executive operations preferred
- Comfort with spreadsheets, databases, project management systems, and data tracking tools
- Experience supporting grant-funded initiatives or strategic projects preferred
- Ability to work independently while collaborating effectively across teams
