Project Administrator (Path to Project Manager)

Overview
We are seeking a Project Administrator to support our Project Management team in executing complex, custom sign manufacturing projects for some of the largest organizations in the United States.
This is not a long-term administrative role. It is a structured entry point into Project Management, with a clear path to owning full projects in as little as 6 months for high performers.
You will work alongside experienced industry professionals, gaining hands-on exposure to real-world project execution, client coordination, and production workflows.
What You’ll Do
You will serve as the operational backbone of the Project Management team, ensuring that information, communication, and execution stay aligned.
Core Responsibilities:
- Prepare and issue production and installation work orders
- Track and follow up on client approvals
- Coordinate and schedule site visits, meetings, and client calls
- Initiate subcontractor purchase orders with Procurement
- Maintain organized project files and document systems
- Provide proactive client communication and status updates
Coordination Responsibilities:
- Support Project Managers in managing project timelines and work sequences
- Interface with clients, internal production teams, and installation teams
- Ensure accurate and timely flow of information across all stakeholders
- Independently managing core administrative and coordination functions
- Confidently communicating with clients and internal teams
- Anticipating project needs and preventing breakdowns in communication
- Escalating risks and issues with complete, actionable information
- Progressing toward ownership of smaller projects
What We’re Looking For
This role is designed for early-career professionals (2–5 years’ experience) who want to build a long-term career in project management.
Preferred Background:
- Administrative, coordination, or project support experience
- Exposure to construction, manufacturing, or project-based environments is a plus
- Experience with tools such as Microsoft Excel, Outlook, CRM systems (or similar)

- Able to manage multiple projects simultaneously with attention to details
- Strong organizational discipline and follow-through
- Direct, proactive communicator with confidence in client-facing situations

- Microsoft Office (Excel, Outlook)
- Client platforms (e.g., Procore and similar systems)
- High coordination across Project Managers, Operations, and Installation teams
