Position Summary

Working under direct supervision of the Mgr., Marketing Events, the Trade Show Event Coordinator oversees all administrative duties related to coordinating tradeshows including tradeshow registration, check requests/purchase orders, communication with all relevant parties (sales, tradeshow attendees and marketing), event packing and shipping, invoice processing, maintenance of budget and organizing tradeshow docs/files.
The Coordinator also supports the Events team as needed with organization and registration at large event.

Responsibilities:

 •  Coordinates tradeshow administrative duties including equipment needed, supplies, registration, attendees and schedules. Maintains budget and organizes tradeshow docs/files
 •  Communicates with all relevant parties (sales, tradeshow attendees and marketing) regarding travel needs, demo preferences, and all set up requirements.
 •  Ensures timely packing and shipping of all required event materials and equipment. Coordinates with shipping department
 •  Processes check requests/purchase orders and invoices.
 •  Provides occasional assistance with other events going on: registration at offsite events, stuffing envelopes, printing badges/registration sheet, packing day of materials, etc. and other duties as assigned
 •  Performs all other duties or special projects as assigned.

Min: USD $19.65/Hr.

Max: USD $24.57/Hr.

Qualifications:

 •  Associate's Degree or the equivalent combination of education and work experience in Marketing, Business Administration or Communications
 •  Basic computer knowledge with ability to operate keyboard for data entry.
 •  Advanced Microsoft Office skills to include creating presentations, creating documents in Word to included advanced formatting, creating spreadsheets to include the use of macros
 •  Excellent attention to detail in composing, keying, and proofing professional business materials
 •  Discreet with demonstrated ability to work in a confidential executive environment using good judgment while acting as an ambassador for the company
 •  Adaptable with ability to switch tasks based on shifting priorities
 •  Analytical with ability to draw conclusions from data, systematic and rational
 •  Conceptual with ability to conceive mentally, formulate ideas, use imagination to achieve results
 •  Articulate with ability to express oneself clearly and professionally in written and oral communication
 •  Decisive with ability to make a prompt determination and substantiate decision if challenged.
 •  Detail oriented with item by item focus, meticulous attention to detail with ability to proofread for accuracy
 •  Intuitive with ability to perceive others' feelings and motives quickly from subtle signals
 •  Organized state of mind with ability to document activities, anticipate problems, plan schedules and monitor performance according to priorities and tight deadlines
 •  Perceptive with ability to understand the needs and values of others
 •  Physical requirements include lifting up to 25lbs

Additional preferred competencies or preferred qualifications, if any:

 •  Ability to work some off hours: Generally a Monday-Friday position with some weekends, week day nights for companywide events
 •  Experience with Workfront, JDE Edwards and booking travel arrangements is a plus.
