Job Title Technical Services Project Analyst

General Role Description
Provide analytical and administrative services for warranty and technical services project management
Role Accountabilities
• Originate projects in ERP, including client entry, project funding, budget creation and maintenance, invoice schedule generation, and integration tasks
• Verify Terms & Conditions (T’s & C’s) on purchase orders, identify risks, resolve issues or escalate per guidelines prior to order entry
• Identify required delivery dates for each project task, confirm with Sourcing that purchase orders are issued in a timely manner based on required delivery, reporting exceptions to management as appropriate
• Issue invoices in timely manner when contractual billing requirements are met
• Contact finance department for tax certificates if required and expedite if necessary
• Generate requisitions, using ERP, by building item masters when necessary, confirming Harmonized Tariff System (HTS) Codes, identifying required delivery dates and cost targets; and retain supporting documentation
• Generate, review, and distribute warranty, cost of quality, and vendor rework reports, as requested
• Prepare commercial proposals of service work outside the scope of the original contract to meet internal and external clients’ Request for Quote (RFQ) requirements and effectively communicate to the client
• Review client PO and communicate with client to reconcile any discrepancies with proposal
• Negotiate service invoice variations with clients to obtain a purchase order increase as needed
• Recommend MIN/MAX stock levels of warranty parts to immediate manager based on sales forecasts and past failure rates to ensure inventory levels will meet demands of future
• Monitor and report status of progress of all major proposals to immediate manager
• Analyze and summarize historical project data to be used for preparation of business mid-range plan (MRP)
• Expedite equipment deliveries through Sourcing as required
• Coordinate efforts of a cross-functional team of client, supplier, packer, freight forwarder, carrier, and customs broker, to ensure timely delivery of product
• Obtain and schedule necessary resources, such as parts and client and field engineering availability, for field change implementation
• Track monthly warranty costs for the Technical Services group and report to immediate manager
• Create site memos for each service project, per company policy
• Enter new tasks into cost of quality project
• Review and approve transferred timesheets and expense reports for assigned projects per applicable company policies, escalating to management as appropriate

Minimum Qualifications
• Bachelor’s degree in related field or equivalent via education and/or work experience.
• 3 years’ related work experience
Demonstrated skills for preparing service proposals
• Demonstrated knowledge of commercial contract terminology
• Demonstrated negotiation skills
• Demonstrated continuous improvement in areas of responsibility
• Demonstrated successful and positive personal leadership, interpersonal, organizational, administrative, and communication skills
• Demonstrated successful working relationships with clients, suppliers, and other internal and external contacts
• Proficiency in an ERP, MS Word, Excel, Outlook, and PowerPoint
• Availability to travel domestically, less than 5%, sometimes with limited notice
Preferred Qualifications
• Demonstrated knowledge of scientific terminology and engineering processes
• Demonstrated experience requiring application of international trade policies
• Proficiency in Oracle ERP, MS Project, Access, Adobe Acrobat, Visio, AutoCAD, CRM tools, HTML
• Advanced Excel skills
