Position Overview:

Reporting to the Chief Operating Officer, the Associate Director of Auxiliary Operations is responsible for supporting all aspects of operations for student and employee housing and the university’s commercial properties. The associate director is responsible for overseeing a variety of SFBU’s auxiliary functions including (1) student and employee housing, (2) commercial leasing of the university’s properties,(3) food service, (4) online bookstore, and (5) budget planning for all functions.

The director works closely with the university’s finance team on other financial and business operations. This full-time position is exempt under the Fair Labor Standards Act [FLSA].

Essential Duties and Responsibilities:

 •  Systems - Develops business processes and workflows for managing inventory of university-owned and -controlled spaces leveraging existing software and technology. Compiles data on occupancy rates on a monthly basis.
 •  Policy Development - Establishes or maintains policies and procedures for managing the university’s properties. Collaborates with the finance team to set rental rates, collect rent, and provide data for tax purposes
 •  Student Housing - Monitors student housing eligibility and occupancy; communicates with students about status changes to housing status, as needed. Maintains contract files for accuracy and completeness.
 •  Housing Operations and Property Management - Handles leasing operations, rent collection, and relevant reporting for managed properties..
 •  Employee and Commercial Rental - Manages leases for university employees and other tenants
 •  Customer Service - Develops communications and materials. Collaborates with campus operations and facilities to support safety and security, address repair and maintenance issues, builds neighborhood relations. Provides customer service to students, employees, other tenants of university properties.
 •  Liaison - Serves as one of several university contacts for external partners. Participates in HOA meetings for university-owned properties.
 •  Food Service Options - Manages third-party contractor to provide food service options for campus.
 •  Bookstore - Manages third-party contractor to provide online bookstore.
 •  Budget Planning - Assesses operating budget allocations and budgetary projections. Analyzes and makes recommendations for cost savings and funding options in alignment with the objectives and strategic initiatives of SFBU’s auxiliary functions. Conducts program and budget research. Assists in the development of operating guidelines and procedures to comply with regulations, institutional guidelines, and unit objectives.
 •  Other duties as assigned

Minimum Qualifications:

 •  At least 5 years experience, preferably working in a college/university environment and/or in a collaborative team environment
 •  Knowledge of landlord and tenant laws
 •  Experience managing residential leases
 •  Experience developing database and software systems to manage property
 •  Experience with conducting requests for proposals, bid processes
 •  Bachelor’s degree or equivalent work experience
 •  Must have clean driving record and maintain clean record during the course of employment

Preferred Qualifications:

 •  7 years experience working with university-owned student and employee housing
 •  experience managing leases
 •  Experience managing commercial leases
 •  Demonstrated experience with residential and commercial leasing
 •  Excellent oral and written communication skills

Knowledge, Skills and Abilities:

 •  Knowledge of housing and/or property management; experience in a university setting is preferred
 •  Knowledge of the rental market for residential and commercial properties
 •  Ability to create a database and system for managing an inventory of university properties
 •  Ability to analyze and report information with accuracy
 •  Ability to work with students, employees, and tenants from diverse backgrounds and cultures
 •  Excellent customer service skills
 •  Excellent organizational skills
 •  Excellent problem-solving skills
 •  Ability to work in a variety of enterprise systems, Google suite, and Microsoft Office

Work Environment & Physical Demands
 •  Occasional weekend hours are required.
 •  Exposure to cold, noise, inside or outside.
 •  Physical demands include lifting limits, bending, sitting, driving.
 •  Job duties typically performed in an office environment.

Salary Range: $95-100K
Anticipated Start Date: June 1st
