Executive Assistant to CEO and VP of Strategy, Global Fast Growing Technology Firm, Chicago, Illinois/Hybrid
A fast-growing global technology company where all employees essentially work remotely is looking for an Executive Assistant right hand to primarily support the CEO, who is based in Chicago and the SVP of Strategy who is in Nashville. The CEO and VP work very closely together on a daily basis.
The ideal candidate must live in Chicago (they have a WeWork space) to meet with the CEO as needed depending on what is going on. Initially there may be more in- person meetings to get a better understanding of the nuances. The candidate must also be able to travel 3-4 times a year for board meetings and leadership retreats that last 3-4 days.
This is an exciting opportunity for a candidate who is pro-active, a true problem solver who enjoys making order out of chaos and has experience putting together board meetings and multi-day events.
About the Job:
Support the CEO and VP as a right hand Gatekeeper handling all day-to-day matters and managing ever-changing calendar, prioritizing meeting schedules and arranging video calls
Organize and manage complex travel arrangements including detailed itineraries
Prioritize email correspondence for the CEO; craft emails on his behalf, as needed
Heavy event planning; prepare logistics (hotels, airfare, activities) for board meeting and leadership retreats as well as coordinate collateral materials, agendas. Project management responsibility from start to finish
Do research on behalf of the CEO and VP to prepare for client meetings as well as with internal stakeholders (10 on executive team) and clients; take notes at board meetings
Handle expense reporting
On call 24/7 via cell after hours, within reason
Base salary plus discretionary bonus; Comprehensive health benefits
About You:
A minimum of 7 years of experience as an Executive Assistant supporting a CEO or high- level C-Suite executives in a fast-paced environment, preferably in the tech or finance space at a global company
Bachelors Degree
Ability to deal with high level executives and clients and manage those relationships with diplomacy
Very pro-active and a problem-solver needing little direction to get things done right; exceptional follow-up and project management skills
Experience managing special events and board meetings with all logistic planning from start to finish with very little intervention
High level of integrity and discretion in handling all confidential information
Excellent Microsoft Office Suite skills; Tech savvy
Excellent written and verbal communication skills
A polished, positive can do personality that enjoys being in the thick of things
