Responsibilities:

The Executive Assistant supports the administrative and project needs of a Senior Executive (C-Suite excluding CEO) or Managing Partner. This role involves relieving executives of many administrative tasks through data collection and analysis to produce complex reports.
The Executive Assistant may also supervise lower-level administrative staff, ensuring efficient office operations and supporting the executive's strategic agenda.

Responsibilities:

 •  Communication Management: Compose, edit, and prepare correspondence, including confidential communications; manage email and communication flows, ensuring critical issues are addressed promptly. Represent the Firm Leader in communications, as necessary.
 •  Administrative Support: Manage an extremely active calendar of appointments for the Firm Leader; complete expense reports; prepare and gather necessary documents and materials with minimal direction; arrange complex and detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings.
 •  Project Management: Assist in the monitoring and reporting on the progress of projects; manage timelines and deliverables for special projects, engaging with relevant stakeholders to ensure objectives are met.
 •  Meeting and Event Coordination: Schedule and manage logistics for meetings and events; attend meetings, take minutes, and ensure follow-up on action items. Collaborate with other departments for event hosting, including marketing and public relations.
 •  Document and Report Preparation: Independently create memos, letters, charts, graphs, and presentations; produce organizational operating reports like budget expenditures, performance data statistics, and process documents without direct supervision.
 •  Leadership Support: Provide direct support to the leadership team, facilitating ad hoc reporting and strategic initiatives. Act as a point of contact between the senior executives and other stakeholders demonstrating their ability to navigate complex relationships.
 •  Process Improvement: Proactively identify opportunities for process improvements and implement solutions to enhance operational efficiency.
 •  Operational Support: Enhance service delivery efficiency and effectiveness by supporting business unit growth initiatives and provides oversight for database updates and maintenance.

Qualifications:

 •  Bachelor’s degree required.
 •  5-8 years of experience in an executive support role, directly reporting to senior management.
 •  Proficiency in Microsoft Office suite and familiarity with modern communication platforms like Teams and Zoom.
 •  Ability to handle confidential information with utmost discretion and integrity. Trust and respect for your professionalism are key aspects of this role.
 •  Proven customer service and stakeholder engagement skills.
 •  Experience utilizing CRM tools such as SalesForce.
 •  Organizational skills, with the ability to manage competing priorities and maintain attention to detail.
 •  Ability to work independently, demonstrating initiative and following through on assignments.
 •  Excellent written and verbal communication skills, including proofreading and detail orientation.
 •  Demonstrated poise, tact, and diplomacy with the ability to interact and communicate effectively with individuals at all levels of the organization.
