Litigation Legal Assistant

Overview:

The Litigation Legal Assistant will participate in all legal phases of large-scale infrastructure construction, from procurement and proposals, to subcontracting, to project closeout and dispute resolution. This includes contributing to all phases of the litigation, arbitration, and ADR processes, with an emphasis on subpoena and discovery document collections.

What you will be doing:

 •  Works closely with in-house legal team members to provide legal administrative support with various aspects of pursuits, operations, claims, and litigation management and legal department operations. Support will include, but is not limited to, scheduling appointments, drafting presentations and spreadsheets, redlining documents, transcribing edits, meeting preparations, meeting minutes, filing expense reports, coordinating with vendors and outside counsel, arranging travel, and other administrative support as assigned.
 •  Works closely with in-house attorneys, outside counsel, and Flatiron’s information technology professionals to coordinate, execute, document, and organize electronic discovery searches and production of documents.
 •  Under attorney supervision, circulates, tracks, and maintains litigation holds and releases.
 •  Updates and maintains case files in the legal database (CSC) by, among other things, archiving court/arbitration filings, discovery, and important correspondence.
 •  Creates, tracks, and maintains attorney and consultant retainer agreements; monitors compliance with billing guidelines and vendor policies.
 •  Calendars and coordinates important litigation events, including responsive pleading dates, discovery and briefing deadlines, hearings, mediations, and trial schedules.
 •  Works closely with in-house legal team to organize, track and manage legal files stored in office, on shared network drive, intranet, Box, and other locations.
 •  Oversees e-billing, and coordinate with internal accounts payable and external counsel regarding billing.
 •  Any other projects or assignments that may be assigned by the legal in-house team.

What we are looking for:

 •  Associate degree, bachelor degree, paralegal certificate, or an equivalent combination of education and experience. Although there may be opportunity to perform paralegal-style work, this is primarily a legal assistant position, such that a paralegal certificate is not required.
 •  Minimum of 3 years’ experience as a legal assistant in a corporate legal department or law firm.
 •  Demonstrated experience in the litigation discovery process.
 •  Team player, positive attitude, self-starter, high initiative, sound judgment, results-oriented, and the ability to work in a team environment (in particular, a team environment with team members spread across North America).
 •  Ability to manage multiple priorities, excellent attention to detail, well organized and demonstrated track record of working ahead of deadlines.
 •  Communications skills sufficient to “manage up" multiple attorneys and manage expectations among them.
 •  Broad knowledge of litigation including ESI preservation practices.
 •  Knowledge of legal terminology.
 •  Good oral and writing skills to communicate effectively and to produce correspondence or e-mails in a form and style appropriate to their intended audiences.
 •  Ability to use discretion and maintain all confidentiality.
 •  Must be able to be productive in an open office environment.
 •  Above average proficiency with computer applications, databases, and legal systems with an ability to learn new systems, such as CSC.
