Overview:

Provides general administrative support to corporate department(s) while striving to maintain overall efficiency throughout the office environment.

Primary Duties & Responsibilities:

 •  Assists Administrative Assistants and/or Facilities Manager with work overflow as needed, acts as customer service liaison for all employees, and assists with projects that involve copying/collating materials for presentations/meetings.
 •  May manage small projects and oversee vendors.
 •  Coordinates and assists with the catering of meetings for various departments.
 •  Maintains faxes, copiers and printers and orders respective supplies and maintenance.
 •  Maintains off-site storage program and coordinates retrievals and returns.
 •  Assists in the maintenance and performance monitoring of national office supply program.
 •  Coordinates approval and ordering of all Corporate office supplies.
 •  Assists in the coordination of Corporate Quarterly Meetings.
 •  Assists in overall maintenance, safety and cleanliness of office environment.
 •  Initiates building facilities tickets and follows-up through resolution on various items.
 •  Initiates telephone system repairs and some move requests.
 •  Acts as back up for Receptionist while on break or at lunch.
 •  Assists in the pick up and delivery of mail and packages through various suites.
 •  Performs other administrative duties as assigned by Manager.

Education & Experience:

 •  Ability to read and interpret information in order to perform duties.
 •  Ability to professionally answer and direct calls on multi-line telephone console.
 •  Ability to deal equitably and pleasantly with telephone callers, visitors and other employees.
 •  Ability to use word processing, e-mail and internet savvy.
 •  Understanding of organization and location of employees throughout the company.
 •  Ability to work with little or no supervision to efficiently manage responsibilities.
 •  Ability to work under timelines without compromising the quality of the work.

Physical Requirements:

 •  Typical office environment.
