Salary: Starting at $55000 / annually depending upon education/experience

Job Summary

The Assistant Contract Administrator will support the Woods System of Care (WSOC) Contracts Department and will work closely with the Contracts team and other key supportive departments such as Legal, Human Resources, Admissions, Executive Administration, Finance, Credentialing and Purchasing.
The main responsibilities of the Assistant Contracts Administrator are to support the systems and processes that have been created to support the ongoing efforts to centralize Contracts Administration for WSOC. Will ensure that the Contracts Lifecycle Management System successfully accommodates the needs of stakeholders and that all tasks are outlined and completed in such a way that all cross functional departments and external counterparties have access to real time information.

The Assistant Contracts Administrator must be extremely organized, professional and communicative. In partnership with the team, will work to continuously enhance and streamline activities supporting the above mentioned goals.

Responsibilities:

 •  Plays a critical supportive role in the implementation, and ongoing training and adoption of the new contracts lifecycle management system.
 •  Ensures end–user ease (i.e. listen to and implement staff requests and reporting ideas).
 •  Produces aggregated reports, dashboards and tickler systems for staff upon request. Customizes for each stakeholder based on their needs.
 •  Reports on key performance indicators (data, trends, thresholds) of compliance, quality of internal and external customer service to (1) measure successes and (2) opportunities for improvement.
 •  Works closely with Licensing and Accreditation management to ensure that any changed requirement is reflected in pre-contracting and provider enrollment documentation (e.g. revised procedures due to a regulatory change).
 •  Maintains the Contracts Administrative manual (for internal division and external FAQs for staff who work with Contracts and Provider Enrollment) to ensure it is always up to date.
 •  Strictly maintains and organizes the shared outlook inbox to ensure a high level of customer service and attention to detail.
 •  Documents legal, business and programmatic requirements in accordance with each funder contract in partnership with the Contracts Administration team.
 •  When there is a status change that triggers the need to set up a new contract (e.g. moves), works proactively to prevent any gaps in revenue or service interruptions.
 •  Responsible for the end to end lifecycle of all school district agreements and purchase orders.
 •  Provides documentation in support of audit, licensing and other regulatory requests.
 •  Oversees the submission of all credentialing and provider enrollment and re-enrollment applications for all Woods and Woods Community Services (WCS).

Qualifications:

 •  Bachelor’s degree in business or a related field of study, with a minimum of 3 years’ experience in an office setting.
 •  Highly proficient in MS Excel and/or similar software platforms
 •  Excellent written and verbal communication skills
 •  Proven ability to pick up on systems and document processes
 •  Must be able to lift 50 pounds.
