Position Overview:

We're looking for a highly organized Estimating Administrative Assistant to help keep our preconstruction, project management, and office operations running like a well-oiled machine, all from a remote setup. This isn't just a paperwork job; you'll be the virtual glue holding things together.

You'll manage digital documentation, coordinate logistics across time zones, and provide administrative support to multiple teams as we establish our brand in a new market. From tracking bids and organizing project files to scheduling virtual meetings and keeping everyone on the same page through cloud-based tools.

Responsibilities and Duties:

Process payroll accurately and timely using payroll software.
Enter and verify data related to employee hours, benefits, deductions, and other information with precision
Assist with accounts payable and receivable tasks, ensuring proper documentation and compliance
Assist with purchase orders and basic job tracking support
Support vehicle-related administration, including documentation and recordkeeping
Collaborate with the accounting team to perform account reconciliation and analyse payroll data for discrepancies
Additional administrative responsibilities to be assigned

Provide administrative support to field staff and internal teams as needed

Requirements:

Strong office management skills with experience in clerical tasks and administrative support
Excellent computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Exceptional organizational skills with the ability to prioritize tasks and manage time effectively
Attention to detail for proofreading documents and maintaining accurate records
Customer service expertise with strong phone etiquette and interpersonal skills
Strong organizational and follow up

Knowledge of office procedures such as filing, document management, and clerical support
