HR Clerical Officer (Grade III) Specified Purpose Contract, Part-Time – 4 Months

The Dublin Dental University Hospital is the major dental teaching hospital in Ireland, undertaking the training of postgraduate and undergraduate dental students, student dental nurses, dental technicians and dental hygienists. We are currently seeking to recruit a HR Clerical Officer Grade III, Part-Time, Specified Purpose Contract, position to join our Human Resources department for 4 months.

The overall purpose of the HR Clerical Officer role is to work as a member of a busy team to assist with administrative work in various capacities in the Human Resources Office. The HR Clerical Officer will provide an essential support to the HR department in the areas of maintaining employee records, supporting recruitment processes while ensuring compliance with company policies and employment legislation.

The position reports to and is accountable to the Project Manager or by any other authorised designated officer that the responsibility is delegated to by the CEO.

Outline of Duties and Responsibilities

The successful candidate will be responsible for data entry on Excel and Access PXD HR system aligning with a number of HR projects.

Main tasks include but is not limited to:

  • Data entry using Microsoft Excel.
  • General office duties, such as organising and scanning files and dealing with phone, email and in-person enquiries.
  • Ensuring office administration support is provided to all staff members in the hospital including data entry into all systems, reviewing and processing of HR related inputs from employees and generating reports from HR systems.
  • Maintaining, filing, scanning, auditing and shredding of paper records.
  • Complete letters and other information requests for employees.
  • Handle sensitive information in a confidential GDPR compliant manner.
  • Liaise with other Departments as necessary.
  • Attending team meetings and other meetings as required.
The extent and speed of change in the delivery of services is such that adaptability is essential to this level of appointment. The person chosen will be required to maintain, enhance and develop their knowledge, skills and aptitudes necessary to respond to changing situations.

Qualifications, Experience and Person Specification

In order to be considered for this position, candidates must have:

  • Leaving Certificate Level 5 & ECDL (Proficiency in Microsoft Packages).
  • A minimum 1-year HR support or administrative experience in a hospital setting.
  • Strong administration skills.
  • Willingness to be flexible and adaptable in a fast pace environment.
  • An ability to contribute to and work effectively as a member of a team and on own initiative.
  • Possess a high level of accuracy and attention to detail in data management.
  • Excellent interpersonal & communication skills both written and verbal and the ability to relate effectively with staff at all levels.
  • Ability to communicate fluently in both written and oral English.
  • The ability to work on own initiative and prioritise tasks.

Desirable:

  • Microsoft Office Advanced Level User.
  • A clear understanding of adherence to employee confidentiality and GDPR.
  • An understanding of the role of HR Clerical Officer and HR systems.
