Vehicle Buyback Administrative Associate
We are currently seeking an Administrative & Billing Support Associate to join our team at our client’s corporate office in Fountain Valley, CA. This is an excellent opportunity for a detail-oriented and highly organized professional interested in supporting the Vehicle Buyback Department.
Position Details- Pay: $21.01/hr – $32.00/hr
- Schedule: Onsite | Monday–Friday | Regular Business Hours
- Location: Fountain Valley, CA
About the Role
As a Buyback Asset Recovery – Administrative & Billing Support Associate, you will play a key role in supporting administrative, billing, and tracking processes related to factory recoveries, vehicle asset management, and financial reconciliation.This position requires strong attention to detail, organization, and the ability to follow established procedures consistently.
Key Responsibilities
Administrative & Recovery Claims Support- Prepare, submit, and track factory recovery claims for buybacks, campaigns, and recalls
- Collect, organize, and review required documentation to ensure files are complete and properly redacted
- Upload recovery documents to designated FTP/shared platforms and track progress
- Verify billed and recovered amounts for accuracy
- Maintain organized, audit-ready records in accordance with retention policies
- Assist with check request preparation and payment approval processes
- Monitor payment statuses and follow up on outstanding or revised items
- Research unpaid or voided checks and coordinate reissuance when needed
- Maintain logs for vehicle/asset status, expenses, auction proceeds, and mailing dates
- Enter and validate data within tracking systems
- Follow up with vendors and internal teams to resolve missing information
- Validate recovery reports by cross-checking VINs, claim details, and supporting documentation
- Assist with recurring and ad-hoc reporting requests
- Maintain logs for submissions, resubmissions, voids, reissues, and recoveries
- High school diploma or equivalent
- 2–4 years of administrative, billing, or financial operations experience
- Intermediate Microsoft Office skills (Excel required)
- Strong attention to detail
- Ability to manage multiple tasks and meet deadlines
- Experience in buyback, warranty, asset recovery, billing, or finance operations
- 1+ year of experience with data analysis, QMF, or SQL
- Automotive industry background

Pay Details: $21.00 to $32.00 per hour
